The challenge

MediTech Solutions is not a small company, they employ 23 programmers. They had finished code and efficient systems, but technical documentation had been circulating between desks in Warsaw for 8 months. Officials kept asking for clarification of data security standards, even though everything was in order. Every month of delay cost the company about 42,700 PLN in maintenance costs for the ready team alone. Investors were starting to ask if the project would even start before the end of 2024. Honestly, the situation looked hopeless.

Our approach

We entered the game in March 2024. Instead of writing another 50-page letter, we did an audit of 124 pages of documents they had already sent. It turned out that the technical IT language was completely incomprehensible to the people in charge of regulations. Our team (lawyer, IT analyst, and GR specialist) rebuilt the entire communication path. We focused on mapping the risks that officials feared the most. We speak plainly about difficult regulations, so we cut out the programming jargon and replaced it with legal specifics.

The solution

Srivakula Gov Affairs changed the information architecture in the documentation. Instead of describing algorithms, we showed data circulation diagrams that perfectly matched the Polish e-health guidelines from 2023. We also prepared a set of answers to questions that had not yet been asked. As soon as the official opened the file, they had a ready-made acceptance scenario in front of them. There was no more room for assumptions or requests to complete deficiencies. We check facts, not assumptions, so we supported every argument with a specific paragraph.

Results

The projects took off at a record pace. The approval that the client had been waiting for since last year appeared on the desk after exactly 14 days from submitting the new version of the documents. The result is visible in the documents, not in the presentations.
