Listing an AI platform on the trusted provider list in 19 days
The standard process takes 4 months. Thanks to a pre-audit and direct consultations with the ministry, the client entered the market before the competition.
We introduced DeepMind Poland to the register of certified AI systems in a time that officials considered impossible. Instead of waiting all autumn, the client started selling to the public sector in the same month.
The challenge
DeepMind Poland tried to go through certification at the Ministry of Digital Affairs on their own for over two months. Their applications were rejected due to unclear descriptions regarding data security and lack of compliance with Polish cloud guidelines. Every day of delay meant 14,300 PLN in losses due to escaping deadlines in tenders. The standard waiting time for a decision at this office was then 114 business days.
Our approach
We did a hard technical audit of the existing documentation in 48 hours. We found 7 critical gaps that were blocking the process. Instead of writing more applications blindly, we sent our expert, Adam Borkowski, for direct consultations with the ministry's legal department. We focused on technical facts about data encryption, rather than marketing generalities. We prepared new documentation that spoke the language of specific regulations, rather than advertising folders.
The solution
We provided a corrected package of documents spanning 92 pages. It contained precise diagrams of information flow in the cloud and a risk analysis consistent with the new AI Act, even though the office had not formally requested it yet. We organized one key explanatory meeting where our engineers showed officials specific authentication modules. We removed all doubts as to where the servers are physically located and how they are protected.
Results
The entire process closed in less than three weeks. The client won the first government contract for the amount of 2.4 million PLN just 8 days after obtaining the entry. The result is visible in the documents, not in the presentations.
